How to use Invoice0
Everything from creating your account to sending your first invoice, converting a quote and recording the payment. Fourteen short steps, in the order you will use them.
Part one
Get set up
- 1
Create your free account
Click Create an account, enter your email and a password, then type the six-digit code we send you. No card details, no plan to choose. Once verified you land straight on your dashboard.
Tip: Already signed up? Use Log in at the top of any page.
- 2
Add your business details
Your business profile is the first thing you fill in. Add your business name, email, phone and address, then set your currency, tax label and default tax rate. Upload your logo and these details appear on every invoice and quote you send.
Tip: Your business email is required — it is used as the reply address when you send documents.
- 3
Pick your document style
In Settings choose one of the invoice layouts, set an accent colour, and place your logo left, centre or right. You can also add a slogan, signature and payment instructions, and watch the preview update as you go.
Part two
Save your clients and prices
- 1
Add your clients
Open Clients and create a client with their name, company, email, phone and address. Saved clients can be picked from a dropdown on any invoice or quote, so you never retype their details.
- 2
Build your price list
Open Items to save the work you bill regularly — a description, a price, and whether it is billed hourly, daily or each. When you write a document you can drop these in instead of typing them again.
Tip: Set whether each item is taxable so your totals stay correct.
- 3
Nothing to install
Invoice0 works in any browser on your phone, tablet or computer. The menu moves to the bottom of the screen on a phone, and every page is the same account, so you can start on a laptop and finish on your phone.
Part three
Create an invoice or a quote
- 1
Create an invoice
Click New invoice, choose a client, then add line items with a description, quantity and price. Set the issue date, due date and payment terms, apply a discount or tax if you need to, and the total updates as you type. Your work saves automatically.
- 2
Create a quote
Quotes work exactly the same way, with an expiry date instead of a due date. Send the quote as a secure link and your client can accept or decline it online, adding their name to accept. When they accept, one click turns the quote into an invoice with the same items.
Tip: You can also import an existing PDF invoice or quote from the documents page.
- 3
Preview and send
Preview the document to see exactly what your client will see, then press Send. They receive an email with a private link — no login needed on their side. Statuses follow along: sent, viewed, paid for invoices; accepted, declined or converted for quotes.
Part four
Get paid and stay on top
- 1
Receive payments
When the money arrives, open the invoice and press Receive Payment to record a full or part payment with a date, method and note. The balance due and the status update for you, and a wrong entry can be undone at any time.
- 2
Automatic reminders
Leave reminders switched on for an invoice and we email your client before the due date, on it, and after it falls overdue. Every reminder we send is listed on the invoice so you always know what went out.
- 3
Recurring invoices
Billing the same client every month? Turn an invoice into a recurring schedule — weekly, fortnightly, monthly, quarterly or yearly — and Invoice0 creates the next invoice on its own, with the option to send it automatically.
- 4
Expenses and reports
Log expenses with a receipt in Expenses, then open Reports to see what you earned, who owes you money and how much of it is overdue. Every report can be exported as a CSV for your accountant.
- 5
Keep Invoice0 free
There are no plans, no invoice limits and no upgrade prompts. If the app saves you time, open Donate in the menu and buy us a coffee through PayPal or PayID — it is entirely optional and never unlocks anything you do not already have.
That is the whole loop
Sign up, add a client, send a document, get paid.
Your work is saved on every change, documents are shared through secure links, and nothing is charged for using the app. If you get stuck on a step, the Contact page reaches us directly.
